Online Privacy Policy
Since 1997, the Minnesota New Hire
Reporting Center has provided the
convenience of reporting new hires online to employers. Our Online Privacy
Policy serves as our guide for collecting, storing and using information that
can or potentially could identify an individual user of the Minnesota New Hire
Reporting Center Web site. Such information is commonly referred to as "Personal
Information".
What information do we collect?
We collect, monitor and store the following information, which is commonly
referred to as "Traffic Pattern Information": (1) The IP address for
the user. This could be resolved to a domain name that has accessed our Web
site (for example, if you subscribe to America Online, we would know that
someone from AOL has accessed our site, but we would not know which of the
millions of AOL users actually accessed our Web site); (2) The date and time our
Web site has been accessed; and (3) The number of visits we have to our Web site.
Additionally, since we value and welcome your comments and suggestions, we
have a portion of our Web site devoted to soliciting your input (comments). If
you take the opportunity to submit comments, you will be asked to provide your
name and e-mail address. This information will allow us to respond
appropriately, if a response is in fact necessary.
Also, we may collect, monitor and store your name, e-mail address, postal
address, phone number and other domain-related information. You will always know
when we are collecting this information, and disclosure is always voluntary.
We also try to make it easy for you to reach us by e-mail for further
information. If you decide to e-mail us, it is important for you to know that it
is likely that you will intentionally, or perhaps inadvertently, send Personal
Information.
Registration and Online Reporting
Registration: Employers wishing to utilize our Web site's online
reporting feature are required to register to use the service. Information
required to register includes the following:
Employer Name; Federal Employer Identification Number (FEIN); Mailing
Address; and Contact Information (Name, Phone Number, Fax Number, Email
Address).
Online Reporting: After registering, employers may report their new
hires using an encrypted Web-form for security. In order to report a new hire,
employers will need to provide the following information on each newly hired
or re-hired employee:
Employee Social Security Number; First, Middle (if any), and Last Name;
Employee Address (including City, State and Zip Code); and Employee State
of Hire (optional).
During registration or online reporting, all information is encrypted using
Secure Sockets Layer (SSL). For more information on SSL, please read the section
on security.
Web File-Transfer Feature
This Web site provides registered employers the option of securely sending
their electronic new hire data files via an encrypted Web-interface. Encryption
uses SSL protocols described in detail in the section on security.
How do we use the Personal Information we collect?
We do not trade, sell, rent, lease, or otherwise share employer information
or employee information with outside parties, unless specified under Minnesota
Statute 256.998
We will collect employer names, e-mail addresses, postal addresses, phone
numbers, fax numbers and domain-related information. We use this information for
our own internal business purposes and to support your personal usage of our Web
site.
We never use traffic pattern information to personally identify individual
users. Traffic pattern information is taken and used only to generate generic
statistics. These statistics are used to identify general trends concerning the
use of our Web site, tell us which of our Web pages are the most popular, and to
help us determine how we may improve our site.
If you identify yourself or provide personal information by submitting a
comment or sending us an e-mail message, we use this information to respond to
your comments, concerns, suggestions, questions or requests for information.
Additionally, we may also use this information for our own internal business
purposes.
What about "Cookies"?
Our site does not use "Cookies".
Will the Minnesota New Hire Reporting Center disclose the information it
collects to outside parties?
The Minnesota New Hire Reporting Center does not trade, sell, rent, lease, or
otherwise share Personal Information with outside parties, unless authorized by Minnesota
Statute 256.998.
The Minnesota New Hire Reporting Center may provide generic statistics about our traffic
patterns and related site information to outside parties, but these statistics
will never include Personal Information.
Notwithstanding the above, we reserve the right to disclose Personal
Information if required to operate or maintain our systems, or pursuant to a
court order, subpoena or similar request.

The Minnesota New Hire Reporting Center Web site has links on some of its Web pages that will link users to third party
Web sites. The Minnesota New Hire Reporting Center is not responsible for the privacy or other policies of any
third party Web sites with which it has links, or of the links offered on such
third party Web sites. Please refer to the operators of such third party Web sites for information on their individual privacy policies.
Security
Access to certain areas of our Web site are password protected. When you
access your account information in a password protected area, you will be using
a secure server via Secure Sockets Layer (SSL). SSL is a protocol developed by
Netscape for transmitting private documents via the Internet. SSL works by using
a private key to encrypt data that's transferred over the SSL connection. In
other words, SSL encrypts all information you input before it is sent to us.
Both Netscape Navigator and Internet Explorer support SSL. Web sites use SSL to
transmit confidential user information over the Internet. SSL is widely accepted
as being very secure.
The Minnesota New Hire Reporting Center uses its best efforts to promote the
security, integrity, and privacy of any Personal Information that you disclose.
Unfortunately, no computer system or data transmission over the Internet can be
guaranteed to be 100% secure. As a result, while our Center strives to protect
your Personal Information, we cannot guarantee the security of any information
you transmit to us. We cannot vouch for the security of information sent over
and through computers that we do not administer. Our best efforts for security
protocols and keeping up with industry standards are our pledge to you.
Email Policy
Our Center will occasionally send e-mails to employers, which may contain
information relating to news bulletins, reporting reminders, and other topics
directly related to new hire reporting or child support enforcement. Your e-mail
address is never provided to any other entity outside of new hire reporting and
child support enforcement.
If you wish to not receive any e-mails,
please contact our Center.
Please be sure to include your Employer Name, Federal Employer Identification
Number, Contact Name and Phone Number. We will take measures to prevent sending
any future e-mails to your address.
Changes to the Minnesota New Hire Reporting Center Internet Privacy Policy
The Minnesota New Hire Reporting Center may, at its discretion, review and, if
appropriate, revise this Online Privacy Policy and our Web operations. If we
ever do revise our Online Privacy Policy, revisions will be posted prior to
becoming effective.
